Admin & Sales Operations Assistant
Description
Admin Support (40%)
Office & Team Administration
• Calendar Management for Global Director
• Meeting Management/Support/Logistics/Event Registration
• Travel Arrangements (Including Visa Arrangement)
• Expense Reporting/Submission for Sales Leader & Vetting of Direct Report Expenses
• Facility/IT Setup, Trouble Shooting for New Hire & Team
• Any other admin support – Product Requisition Request, Courier Service, Name Cards, Customer Master Data
Organization Support
• Maintaining Organization Chart (Monthly), Team Distribution List( Adhoc)
• Plan & execute team Celebrations – Birthdays, Festivals, Farewells etc.
• Manage New Hire/Departure Checklist (Adhoc)
• Team Meeting agenda prep & minutes (monthly)
Sales Operations (60%)
Counter Maintenance & Planogram
• Coordinate with vendor on required maintenance work
• Collaborate internally and maintenance issues reporting to vendor for resolution
• Organize & participate in regular drumbeat maintenance meeting internally & vendor
• Follow up counter maintenance issues to ensure work completed and issues resolved
• Counter visit - site check and rectification follow up
• Planogram – customization to market/store needs
• Code conversion updates, resolve code issue via coordination with Account Manager & Customer
Customer Reports & Forms Preparation
• Monthly sales report generation (Global Customers)
• Customer listing forms: Data filling for submission (Newness datasheet, discontinued items, price adjustment, promotion booking, giftset allocation etc.)
• Other reporting requests
Qualifications: • Experience in managing senior leaders administrative tasks
• Experience in managing team administrative tasks
• Experience in sales operations will be helpful
• English speaking
• Self-motivated and able to successfully deliver independently/remotely without close oversight from manager
• Strong in managing work load, able to prioritize and managing different stakeholders needs, including anticipating and managing changes to deliver on expected outcome
• Strong collaboration and communication skills internally and externally
• Superior project management skills working without supervision
